Lost Library Materials Fees

When an item is 30 days overdue it will get a status of "Lost", and we will bill you for the replacement of that item, plus all associated charges.

Bill-for-replacement charges consist of 3 parts:

  • Maximum overdue fine (varies from $15.00-$60.00 depending on the material).
  • Replacement cost of item (varies).
  • $35.00 processing fee.

If "Lost" Library Materials are Returned

If the materials are returned within two years of billing and are in good condition, patrons are credited for the replacement cost and $15 of the processing fee.  Patrons are still responsible for paying the remaining processing fee and the overdue fines.

If Library Materials are Lost Before they are Due

If you know you have lost an item please fill out a Report of Lost Book form at the Service Desk at Central Library, the Architecture & Fine Arts Library, or the Science & Engineering Library.  You will be charged as follows:

  • Replacement cost of item (varies).
  • $35 processing fee.

Damaged Library Materials Fees:

  • Materials that are returned damaged but salvageable, as determined by the Libraries' Preservationist, will generate a charge to the patron of $10 for mending/rebinding.
  • Materials that are returned damaged and not salvageable, as determined by the Libraries' Preservationist, will be treated as "Claimed Lost" material and will be billed the replacement cost of the item and the $35.00 processing fee, plus any late fees, if applicable.

Paying Fines and Fees

Library fines and fees are billed to your account with the UT Arlington Accounting & Business Services Office. Payments are made at the UT Arlington Bursar's Office on the 1st floor of Davis Hall.

There is a Library Appeals Panel for you to dispute library fines or fees that have been charged to you.

Additional Information:

  • A receipt for returning your library materials is available upon request. Tell us you would like a receipt before we check in your materials.
  • You are responsible for all library materials checked out to your UT Arlington ID number.
  • You are responsible for the security of your library card. Contact us if your library card is lost or stolen.
  • The Libraries may block you from checking out additional library materials if you have overdue or lost items or other financial obligations to the Libraries or to UT Arlington, or if you have failed to give us a correct mailing address.

Your circulation records at the UT Arlington Libraries are confidential.

If you are a currently enrolled UT Arlington student or currently employed UT Arlington faculty or staff, you may be able to have access to other libraries in the in the State of Texas and around the United States.

TexShare Card

UT Arlington students, faculty, and staff may be able to have access to libraries that are members of TexShare. Apply for a TexShare Card or bring your MavID to the any library service zones to get a card in person. Contact each TexShare Library to learn each library's policies and hours.

LibraryLiNK Program

While Arlington Public Library (APL) is no longer participating in the TexShare program, our users will continue to be supported under the LibraryLiNK program. Borrowing privileges mirror those of TexShare: Accessing online learning services, downloading e-books and audiobooks, placing holds and checking out up to 5 items.
Students, faculty and staff should come to the any of the library service zones to get a LibraryLiNK card. Library staff will issue the LibraryLiNK card along with the TexShare card. The expiration will be the same date as for the TexShare card. Patrons will need to show the LibraryLiNK card and their MavID at Arlington Public Library when they request a guest card.

OCLC Reciprocal Faculty Borrowing Program

UT Arlington faculty may be able to have access to libraries that participate in the OCLC Reciprocal Faculty Borrowing Program. Apply for an OCLC Card or bring your MavID to the Central Library Service Desk to get a card in person. Contact each OCLC Reciprocal Faculty Borrowing Program library to get information on their policies for participation.

Sign Up for a TexShare, LibraryLiNK or OCLC Card

If you are a UT Arlington student, faculty or staff member and need an item that is currently checked out by another user, you can recall the material from them.

Recalls ensure that all students have timely access to the materials that they need. Your cooperation is appreciated.

Please remember that ALL patron records are confidential. Names of borrowers or requestors will not be given out to others.

How to Request a Recall

  1. Locate the desired item in the UT Arlington Libraries Online Catalog.
  2. To recall the material, the item record must indicate that the item is "checked out".
  3. Select the "Request This" link on the right side of the page.
  4. Log into your account.
  5. Select the "Recall from the person who has the item" option.
  6. Fill out the Request Form and choose your "pick up location".
  7. Select "Submit"

Please note that items recalled so that they can be placed on Reserve take priority over all other recall requests.

Certain materials may not be recalled:

  • Reserve items
  • Reference materials
  • Periodicals
  • Laptops and headphones
  • Items that are not checked out to another user
  • Items that are on order or in process

It may take 10 days or more from the request date for a recalled item to be returned to the Libraries

If you cannot wait for the item, you can seek assistance at a service zone to find other libraries in the area that own the item.

Accessing a Recalled Item

When a recalled item is returned, the Libraries will e-mail you that the item is available. You may also check the status of your recall request by going into Your Info in the UT Arlington Libraries Online Catalog.

The item is held for 10 days at the service zone of your choice (Central Library, Architecture & Fine Arts Library, or Science & Engineering Library). If you decide you no longer need the item, please contact the staff, so that it can be returned to the shelf or passed along to the next user.

When an Item You Are Borrowing is Recalled

We will notify you by e-mail and by US Mail if your item has been recalled.  The loan period is shortened, and the item is given an adjusted due date (usually 10 days from the date of recall).

If a user (faculty included) does not return the item by the new recall date, special recall fines accrue at $2.00 per day.

If an item is recalled from you that you still wish to use, you may place your own recall for the item by following the "How to Request a Recall" instructions above. Your name will be put back in the queue for the item once it is checked out to the next patron.

Keep in mind, however, that the next user will be allowed to keep the item for 30 days before the next recall takes effect, and there may be other recalls ahead of you.

If you cannot wait for the item, you can seek assistance at the service desk to find other libraries in the area that own the item.

Can't Find Library Material on the Shelf

  1. If library materials are listed in the UT Arlington Libraries Catalog as "Available" AND you can't find them on the shelf, go to the service desk and ask for a Search Request form.
  2. Fill out and submit the Search Request Form and we will search for the material twice over a period of 7 days.
  3. If we find the material, we will contact you and hold the material for you to pick up. These materials are held for 8 days at the service desk of the library where you requested it be held for you.
  4. If we don't find the material, we will contact you and mark that material as "Missing" while we continue to search for it. At that point you will be able to request the material through Interlibrary Loan.

Unprocessed Materials Request

Library material listed in the UT Arlington Libraries Catalog with status of "IN PROCESS" can be retrieved for your use.

Complete the Unprocessed Materials Request Form.

Can't Find Library Material You Borrowed

  1. Go to the service desk of the library where you checked out the material and ask to fill out a Report of Lost Book form.
  2. When you fill out this form, the Libraries will search for the book, in case it has been returned. You should also continue to search for the book among your possessions. Once this form is filled out, overdue fines will not continue to accrue if the book is already overdue.
  3. When you and the Libraries are sure that the book is truly lost, you will be charged for the replacement costs of the book.

Interlibrary Loan Renewal Instructions

Renew online or Call 817-272-3344

Some Materials Cannot be Renewed. Typical Reasons Are:

  • You have reached the maximum number of renewals for that item. Faculty are allowed two renewals; Graduate students are allowed three; Undergraduates, UT Arlington staff, and all other categories of library users are allowed two renewals.
  • The item has a Recall placed on it, meaning that another library user needs it and has asked us to set it aside for them to use when your current loan period expires. Items checked out to you can be recalled by another library user anytime, and will only be able to be used by you for 30 days.
  • The item belongs to one of the Library's high-demand categories. Materials that are Bound or Current Periodicals, that are on Reserve or checked out manually from the service zone are checked out for short periods of time, cannot be renewed, and result in a higher overdue fine if returned after the due date.
  • We received incomplete information (see the information required for phone and email renewals given above), or your voicemail renewal message was difficult to understand.
