These policies and procedures may be created, rescinded or amended by a majority vote of the Advisory Council.

Membership dues shall be payable on or before September 1 each year, and will be prorated for members who join after the first quarter. Renewal notices shall be mailed approximately one month prior to the end of the fiscal year, and members shall be notified when their dues are in arrears after dues are payable. Monies received shall be deposited in an account maintained by the University and shall be administered by the Director of Libraries in coordination with the Treasurer.

The organization shall observe the same fiscal year as the University which shall be September 1 August 31 or as observed by State government.

The Director of Libraries and the Assistant Director for Special Collections shall serve as liaisons between the organization and UT Arlington. The Director shall consult with the Development Committee as appropriate regarding donations of money and other gifts to The UT Arlington Library, advise the organization as to the needs of the Libraries, and provide an annual accounting of all funds received and disbursed by The Friends in coordination with the Treasurer of the organization. The Assistant Director for Special Collections shall provide administrative and clerical support as necessary to The Friends.

The basis for determining a voting result shall be as follows:

A. Majority Vote means more than half of the votes cast by those entitled to vote at a regular or called meeting at which a quorum is present.

B. TwoThirds Vote means at least two thirds (2/3) of the votes cast by those entitled to vote at a regular or called meeting at which a quorum is present.
