Q: Who Can Place Items On Reserve?

Instructors or their representatives may submit reserve requests.

Q: What Can Be Placed On Reserve?
  • Books and journal issues owned by the UT Arlington Library or the instructor.
  • Lecture notes, solutions to homework, sample exams and course syllabi created by the instructor.
  • Copies of journal articles, books chapters, etc. provided fair use or copyright permission is in effect.
  • No course packs will be placed on reserve.
  • No copies of entire works unless it can be verified that the copy is legal.
  • Permission is required before research papers, essays, tests and other student-produced works may be placed on Reserve. Written permission from the student must be presented with your request to place the item on Reserve. Under the Family Education Right to Privacy Act (FERPA), everything students produce is private information and cannot be released to the public without prior permission.

Please keep in mind that Reserves is intended to provide supplemental course readings and is not an alternative to purchasing texts. Faculty need to continue to have students purchase textbooks and other required readings which are necessary for the successful completion of the assignments.

Q: How Many Items May I Request Be Placed On Reserve For A Course?

Due to space, staffing limitations and the cost incurred if royalties are involved, we ask that instructors limit the titles for one course to 25 per semester.

Q: When Should I Place My Request For Reserves?

You may submit a request for reserves at any time; however, the sooner the reserve staff receives your request the better. A minimum of 7 days is preferable; a month before the start of the term is optimal. Items are processed on a first come, first serve basis.

Q: How Should I Submit My Request?
  • Use our web form. Additional information about submitting requests is located on that page.

  • Submit a request on our standard paper reserve form which is available at the circulation counter at the 3 libraries.

Q: How Can I Help Expedite My Reserve Request?

Since reserve services are an extension of the classroom, faculty and library staff must work closely to ensure that students have access to the information they need. These are some of the things you can do to help the process:

  • You can help by locating library owned materials and bringing them to the reserve staff. If you provide copies, they should be clean and high quality especially if you desire that they be made available electronically.

    For all copies you must include accurate and complete citations.Be sure to include the instructor's name, course and anticipated enrollment.Provide us an with e-mail address so we can easily contact you if there is a problem.If you have course syllabi, outlines, exams and class notes in electronic format, providing us with that file will speed processing for electronic reserves.If a web link exists to the item you wish to be "on reserve", please provide us with that information.
  • If you already have permission to use a copyrighted work for reserves, please provide us with a copy of that permission letter.
Q: Do You Contact Me When The Reserve List Is Complete?

No. However, you will be contacted if there is a problem with a reserve request. You will also be contacted with a password if items are placed on electronic reserve. To see what is currently available for your class, you can go to the UT Arlington Library Catalog and look under "Course Reserves".

Q: What Is The Loan Period For Reserve Items?

You have several choices: 2 hour library use only, 3 hour may leave library, 24 hours, 3 days or 7 days. When you select a loan period please choose one that is optimal for the number of students in your class. Also, please don't place something on reserve and then decide to check it out to yourself. This prohibits access to your students and cuts down your loan period considerably.

Q: How Long Do Items Stay On Reserve?

Without exception, copies on reserve are removed at the end of each semester. Personal copies are returned to the instructor at the end of each semester unless other arrangements are made.

Q: Do I Have To Worry About Copyright Issues?

The reserve staff will evaluate copyright issues for items requested for reserve use. If copyright is a concern, staff will work with you to make the materials accessible. Staff will seek copyright permission to use a copy and the Libraries pay the associated fees, if payment is required. While seeking permission, 1 copy will be placed on reserve in either paper or electronic form - you decide. You will be informed if copyright permission is denied or royalty costs are excessive. Generally the first semester a copy is placed on reserve, permission will not be required unless there is some factor that negates it falling under fair use guidelines.

Q: What Is Fair Use?

The first time a copy is placed on reserve permission of the copyright holder is not required if it falls under fair use guidelines of the copyright law (Section 107). The factors that have to be weighed are:

  • The purpose and character of use, including whether such use is of a commercial nature or is for nonprofit education purposes.The nature of the copyrighted work.The amount and substantiality of the portion used in relation to the copyrighted work as a whole.
  • The effect of the use upon the potential market for or value of the copyrighted work.

UT Arlington Library follows the "UT System Rules of Thumb for Reserves" in this matter.

Q: Will My Students Know How To Use Reserves?

It is a good idea for you to announce in class when there are items on reserve and in which library they can be found if they are physical pieces (as opposed to electronic). For electronic reserve materials, inform students that these are accessible via the web in the UT Arlington Library Catalog under Course Reserves. You will need to tell students the password to access your electronic reserves since library staff do not have access to that information.
