Information for PhD Students

Items Owned by UT Arlington

The UT Arlington Libraries provides retrieval of local library research resources to PhD and graduate students via the online Library Catalog. This service is known as Graduate Retrieval Service (GRS). Library staff will retrieve books, bound periodicals and media held in the UT Arlington Libraries collections within two business days and hold* items for up to 7 days. Items are available for pick-up at their holding library:

  • Central Library (CEN) items are held at the Central Library Service Desk.
  • Science & Engineering Library (SEL) items are held at the Science & Engineering Library Service Desk.
  • Architecture & Fine Arts Library (AFA) items are held at the Architecture & Fine Arts Library Service Desk.

Requested items must be from the UT Arlington Libraries' circulating collections and not from the non-circulating or electronic collections. There is a limit of 10 requests per day per student.

*PhD students may be eligible for delivery of materials to their department provided the department accepts deliveries, the student has a box in that office and informs Resource Delivery staff of this option.

Using this Service

  • Go to the UT Arlington Library Catalog and find the desired item, located at either the Central Library, the Science & Engineering Library, or the Architecture & Fine Arts Library.
  • From the item record, choose “Request This” and log in using your NetID and password.
  • Choose the form “Retrieve this item for me.”  Fill out the form completely, including choosing the correct volume, when applicable, and submit it.
  • Library staff will process requests within two business days. You will be notified via your MavMail when the items are available for pick-up. Items will only be held for 7 days from the date of notification.

Items Not Owned by UTA Libraries

UT Arlington Libraries will attempt to borrow materials or secure scans or photocopies of materials for items we do not own.  Physical items on loan from other libraries will be held at your chosen library unless arrangements have been made for delivery to your departmental box. An email will be sent informing the patron when an item has arrived.

Using this Service

  • Go to the UT Arlington Interlibrary Loan (ILL) Online system: https://uta.illiad.oclc.org/illiad/
  • Log in using your NetID and password. (First time users will be prompted to set up their interlibrary loan profile when they enter their NetID and password.)
  • In the Main Menu select the “Article/Book Chapter”, “Book” or “Thesis” based on the material type that you are requesting.
  • Fill out the form completely and “Submit Request”.

Distance Education Services

PhD students who do not live within the area may take advantage of our Distance Education delivery services which includes items owned by our libraries as well as items not owned by our libraries. Resource Delivery staff will mail our materials via the USPS to your home or courier materials borrowed from other libraries. The student is provided with a return address postage paid label so they do not incur shipping expenses.

Using this Service

  • Go to the UT Arlington Interlibrary Loan (ILL) Online system: https://uta.illiad.oclc.org/illiad/
  • Log in using your NetID and password. (First time users will be prompted to set up their interlibrary loan profile when they enter their NetID and password.)
  • In the Main Menu select the "Distance Education and Disability Services" option.
  • Fill out the form completely, including the call number of the needed material if it is owned by UTA, and submit the request. (To find the call number, use the UT Arlington Library Catalog.)
