About Interlibrary Loan (ILL)

Interlibrary Loan (ILL) is a free service that obtains and delivers materials that are not owned by the UTA Libraries. International in scope, requests can be submitted via the ILLiad login page. Currently enrolled UT Arlington students,  currently employed UT Arlington faculty, staff and retired faculty are authorized to use the service.

Distance education students should use ILL to request materials be delivered from UTA Libraries, as well.

The charges to obtain most ILL materials are paid for by the UTA Libraries. Undergraduates may be asked to cover fees to borrow an item if they total more than $25.

If the material is lost while you are borrowing it, you must pay replacement costs as well as any processing fees and overdue fines.

If the material will be used as course materials, please add "for use in course  {enter course name or number}" in the note field of the request form.

You can request almost anything through Interlibrary Loan including: 

  • books
  • articles
  • theses/dissertations
  • microform
  • media 

You cannot request materials available in the UTA Libraries (unless they are lost, missing, checked out, or being repaired), course textbooks, or material for the purpose of placing them on Reserve. 

If you requested an article, an excerpt, an essay, or a chapter, the item may be delivered to you as a photocopy or an electronic copy (i.e. a scan). If you requested a book, thesis, or complete work, the physical item will be available for you to borrow.

First, search the Online Catalog to ensure the materials you need are not available at UTA  Libraries. Then go to the Interlibrary Loan Online system and log in using your UTA NetID and password to submit a request.

Photocopy requests typically take 3-4 days. Loan requests typically take 10 days. 

If you have special circumstances requiring fast delivery, please include your deadline on the request form. We will try to meet your deadline. When the deadline date is reached, we will stop trying to locate your material and update you on the situation. 

Here are some common reasons for delayed arrival: 

  • Item was recently published
  • Rare or unusual items/formats 
  • Request was made during a holiday period 
  • ILL request form is incomplete or inaccurate
  • You turned in more than 10 ILL requests in one day, and the requests had to be processed over several days so that all ILL users were served in a timely manner

While there is no official limit to the number of requests that may be submitted, the ILL team supports the entire university community and has limited staffing. As such, in the consideration of fairness, up to five requests will be processed per day per person or as time allows. Requests will be processed in the order of receipt.

  • Go to Interlibrary Loan Online 
  • Log in using your NetID and password
  • Under "View" on the left navigation bar, select "Outstanding Requests"

UTA libraries will not charge for SMS or text notifications however message & data rates may apply depending on your cellphone plan.

To opt in for text messaging, three items need to be in place.

In your ILLiad account under Profile>Update Profile:

  • Fill in the ‘Mobile Phone’ number field with your mobile number. Use numbers only (no punctuation or symbols)(Number must be able to receive SMS/Text messages)
  • The ‘Preferred Electronic Delivery if possible’ line needs to be set to “Yes”
  • The ‘Request Notification Preferences’ (Text/SMS) boxes need to be checked for the notices you want sent via text.
  • Click 'Submit Information'

To opt out of text notifications

  • Log onto your ILLiad account
  • Click on Profile>Update Profile at the top of the page
  • Under Request Notification Preferences > Text/SMS, Click the 'None' button
  • Scroll down and click 'Submit Information'

We will contact you when your materials are ready to be picked up. 

Physical Items (books, microfilm, etc): These items may be picked up and returned at the Service Desk on the 1st floor of Central Library. You must present a photo ID to pick up these materials. ILL materials returned after the due date are subject to overdue fines. ILL privileges and/or UTA Libraries borrowing privileges may also be suspended if ILL materials are kept beyond their due date. 

Electronic Copies: The item will be stored on the ILL webserver and you will receive an email telling you how to access it. They are accessible for 30 days unless you delete the article before the 30 days are up. 

Photocopies: The item may be mailed to you or you may pick them up at the Service Desk on the 1st floor of Central Library. You must present a photo ID to pick up these materials. They are usually yours to keep. 

Return ILL materials to any of the Service Desks at the 3 UTA Libraries. Or mail it to Interlibrary Loan, UT Arlington Libraries, 702 Planetarium Place, Arlington, TX 76019-0497.

Please take care of borrowed material! Borrowed items that are lost or damaged are subject to repair or replacement fees as assessed by the lending institution. Damage includes but is not limited to: writing in or on the material, highlighting, bending or tearing pages, breakage, heat or liquid damage. Fees can be in excess of $200.

d. Restitution or Reimbursement

Requires  a  student  to  make  restitution  or  reimburse  the University for loss or damage to, or unauthorized taking or use of, property owned or controlled by the University or any other third  party  when  the  conduct  of  the  student  has  resulted  in such  loss  or  damage.  The  student  shall  be  advised  of  the amount of the loss or damage, and it may either be charged to the student's University account or submitted by the student to  the  Office  of  Student  Conduct  via  cashier's  check  by  a deadline specified.

Retired Faculty may submit requests for information retrieval or ILL service via the ILLiad database.

They are responsible for:

  • Copyright compliance
  • Keeping their contact information up to date.
  • Returning materials when due or replacing missing or lost materials.
  • Overdue fines
  • Requesting renewals prior to the due date if necessary

Borrowed circulating materials will be held at the Central Library for pick up by the individual.
